Client Care Associate

Full-Time Client Care Associate Locations: Buzzards Bay & Dennis, MA If you’re an experienced customer service professional who thrives in a fast-paced environment and wants work that truly matters, Cape Cod Veterinary Specialists (CCVS) would love to hear from you. We’re looking for a full-time Client Care Associate (CCA) to support both our Buzzards Bay and Dennis hospitals. This position will include regularly scheduled shifts at both locations, and applicants must be flexible and comfortable working at either hospital based on staffing and operational needs. As a Client Care Associate, you’ll often be the first and last person our clients interact with during some of their most stressful moments. You’ll play an important role in creating a welcoming, compassionate experience while helping our emergency and specialty teams provide exceptional care to pets and their families. About the Role Our Client Care Associates are the connection point between pet owners, referring veterinarians, and our medical teams. You’ll help keep our hospitals running smoothly through thoughtful communication, organization, attention to detail, and accurate financial transactions. From answering the phone and checking in a worried pet owner to coordinating records with a referring veterinarian, this role requires someone who can stay calm, organized, and compassionate in a busy hospital environment. Compensation and Schedule Full-time position Pay range: $20 to $22/hour Schedule will include shifts at both our Buzzards Bay and Dennis locations Applicants must be flexible and willing to work at either hospital as needed Combination of day and swing shifts Weekend hours required Evening, weekend, and holiday rotation required Initial training may take place at both locations What You’ll Do Greet and check in clients for emergency and specialty appointments Schedule and confirm appointments Answer and direct calls using a multi-line phone system Create estimates and invoices, collect deposits, and process payments Scan documents and maintain accurate information in the electronic medical record Send medical records and updates to referring veterinarians Maintain a clean, organized, and welcoming front desk and lobby Communicate with compassion and empathy during emotional or high-stress situations Work closely with medical teams and fellow Client Care Associates across both hospitals Contribute to a supportive and positive team environment What We’re Looking For 1+ year of veterinary hospital experience preferred, including technician, veterinary assistant, liaison, CSR, or CCA experience Strong customer service and communication skills Ability to multitask, prioritize, and remain composed in a fast-paced environment Dependable and flexible, with the ability to work at both CCVS locations Comfortable using computers, including Word and Excel, and learning new software Basic math skills for deposits and payment processing Experience with ezyVet, SmartFlow, CareCredit, or similar programs is preferred Professional, approachable, engaged, and respectful when working with clients, referring veterinarians, and teammates Willingness to learn and take on new responsibilities We’re also open to the right person who may not check every box but has strong customer service skills, a willingness to learn, and understands the importance of compassionate communication in veterinary medicine.
