Veterinary Referral Coordinator | $20–$24/hr Alpharetta Veterinary Specialty & Emergency | Alpharetta, GAFull-Time | Monday–Friday, four 10-hour shifts Alpharetta Veterinary Specialty & Emergency (AVSE) is seeking a Referral Coordinator to join our Client Care team. This role plays an important part in coordinating referrals between primary care veterinarians, specialty services, clients, and the AVSE medical team, helping ensure patients receive timely and seamless specialty care. The ideal Referral Coordinator is organized, detail-oriented, comfortable in a fast-paced veterinary environment, and confident communicating with veterinary professionals and pet owners. Receive, review, and coordinate referral requests from primary care veterinary hospitals and internal departments, gather and verify patient information needed for specialty appointments and care, ensure referral records, medical information, and supporting documentation are complete and accurate Coordinate communication between referring veterinarians, AVSE doctors, specialty departments, and clients Help facilitate timely scheduling and transfer of medical records, diagnostics, and other referral information, maintain accurate and organized referral records and documentation, communicate referral status and next steps to referring veterinary teams and clients Assist with insurance-related processes and pre-authorization when required Provide professional, compassionate customer service to clients and referring veterinary practices, maintain confidentiality and follow appropriate privacy and information-handling standards De-escalate client concerns and complaints and escalate issues to the appropriate leader when needed Work collaboratively with Client Care, Veterinary Technicians, doctors, and specialty departments to support an efficient referral experience Help identify and resolve barriers that may delay scheduling, communication, or patient care Perform additional administrative and client care responsibilities as needed to support the hospital Qualifications High school diploma or equivalent required Previous experience in veterinary medicine, veterinary administration, medical office management, referral coordination, or a related field preferred. Specialty/emergency hospital experience strongly preferred Knowledge of veterinary medical terminology, environment, and protocols, familiarity with veterinary referrals, medical records, and insurance processes Strong customer service and interpersonal skills, excellent written and verbal communication skills Ability to communicate professionally with clients, referring veterinary teams, and internal hospital departments, comfortable handling sensitive client concerns and knowing when to escalate issues Highly organized with strong attention to detail and follow-through, ability to prioritize and manage multiple referrals and competing tasks in a fast-paced environment Comfortable working with multi-line telephone systems and computer-based medical record, proficient with computers and common office software; experience with veterinary practice management software is a plus Collaborative, dependable, and able to work effectively as part of a multidisciplinary veterinary team Fluent English speaking and reading skills required.
